SharedFutures is committed to protecting the privacy of your personal information. This policy contains important information about how we collect and use your personal information in accordance with applicable legislation including: the UK General Data Protection Regulation, the EU General Data Protection Regulation and the Data Protection Act 2018 ('data protection law'). It also explains your rights and how to contact us if you have any complaints.
SharedFutures is a 'data controller' within the meaning of the legislation which means that we are responsible for deciding how we keep and process your personal information. In this policy, 'we', 'us' or 'our' refers to SharedFutures and all affiliated entities, and the use of "you" or "your" in this policy, refers to any individual whose data we process, including but not limited to you, any other registered user on your SharedFutures account, and your child (or children) whose personal information is relevant to the SharedFutures services.

Personal data, or personal information, means any information about you from which you can be identified. It does not include data where the identity has been removed (anonymous data).

- Details of your spouse/partner and children
- Your employment/work details

How Your Personal Data is Collected
We collect most of your personal data from you directly. However, we may also collect information via / from third-party sources. Those third-party sources include but are not limited to cookies on our website – see our cookies policy; automated monitoring of our websites, computer networks, communications systems and connections.
Permitted Legal Grounds for Using Your Personal Information
We will only process your personal information where we have a lawful basis for doing so. The lawful bases which are applicable to our business and the processing of your personal information are:
Contract Performance
To decide whether to enter a contract with you or to perform that contract with you. For example, we rely on this lawful basis to process your personal information to check that you have an email address that is linked to a child at the school where SharedFutures is operating.

To comply with a legal obligation. We rely on this lawful basis where, for example, we are required to provide your personal data under a Court Order or as required by any regulator.

Where we have a legitimate interest to process your information, provided your interests and fundamental rights do not override those interests. We may market our services to you on the grounds of legitimate interest, but we will always give you the option to opt-out of those communications.

Where you have given us your consent. Where we cannot rely on any other lawful basis, we will request your consent to process your personal information.

Sharing Your Personal Data
In the course of carrying out SharedFutures' services, your and your child's data is shared with other registered users on our platform.
We only allow third parties to handle your personal data if we are satisfied they take appropriate measures to protect it. If we share personal data with them, they will process that data as a data controller or a data processor, dependent upon how they will process that data, and in accordance with the data sharing requirements of data protection law. We may disclose and exchange information with law enforcement agencies and regulatory bodies to comply with any legal obligations.
We do not transfer your personal data out of the UK.

The security of your personal data is important to us. The personal data we hold is stored electronically, in our secure IT systems.

Note: You will not have to pay a fee to exercise any of your rights, however, we may charge a reasonable fee if a request for access is clearly unfounded or if it is deemed to be excessive. Alternatively, we may refuse to comply with a request in such circumstances. We will ask for proof of identity before we provide any personal information, to prevent any unauthorised access.
Keeping Your Personal Data Secure
We take the responsibility for your data seriously. Your data is stored through third-party providers, Render Services Incorporated and Vercel Incorporated. Their security policies are available here:
Important: Unfortunately, the transmission of information via the internet is not completely secure and although we strive to protect your personal data, we cannot absolutely guarantee the security of your data. Those processing your information within our business and on our behalf, will do so only in an authorised manner.
In the event of any suspected data security breach, we will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.
Processing of Data Belonging to Children or Young People
We may process the data of children or young people who are undertaking work experience through the SharedFutures platform.
Children over the age of 13 control the rights to their own data and have the same rights described above.
